Google Tag Manager is a tool that enables us to integrate tracking or statistical tools and other technologies on our website. Description and Purpose:
Our website uses the online questionnaire tool PHAINA. PHAINA offers the possibility of automated consultation, whereby based on previously answered questions, further suitable questions can be asked in order to determine the user’s needs as precisely as possible. At the end of the interview, a product is recommended based on the answers given, which can be accessed via a direct link.

The interviews are saved via a user token. The time and answer ID of the responses are stored. In addition, the user token records which questions were asked and which products were ultimately recommended.

In this context, the following data may be processed from you in addition to the token:

  • Date and time of the access,
  • Browser type and version,
  • IP address,
  • Operating system used.

Depending on the course of the interview, additional personal data that you provided during the interview may be processed. The provision of data is voluntary.

The responses from the interviews are available to us for evaluation purposes in pseudonymized form. In this process, the requests and responses are not assigned to an identified user but are processed without a direct personal reference. The analysis serves to better understand the requirements for our product offering for our customers and to continuously improve our offering for users. Key figures such as duration of use and number of requests are also collected from the data in aggregated and anonymized form for statistical purposes. Even though the data is pseudonymized beforehand, it is very important to us that our users retain full control over their data; therefore, these evaluations are only carried out with your explicit consent.

Additionally, there is the option of having suitable products suggested to you based on a free-text query. The entered query is processed by AI to display suitable products from our database. The query is transmitted to OpenAI Ireland Ltd. for processing. Only the user token assigned to you is transmitted for processing, which does not contain any directly personal data. However, due to the token, previous queries can be associated with you upon subsequent use. The content of the query is also processed by OpenAI Ireland Ltd. To protect your data, we ask you not to include any personal information in the query.

We use a chat function on our website to provide information about our product range. The chat function is provided by Phaina GmbH. You can ask questions via the chat function to receive information; a user token is set to identify the user. This token is transmitted along with the request to OpenAI Ireland Ltd. in order to generate suitable suggestions for you with the help of AI. The token allows previous queries to be linked to you upon returning to our site, in order to further improve the user experience. To protect your data, we ask you not to include any personal information in the query.

In the context of using the chat function, the entered queries may be evaluated in summarized form to identify frequently asked questions (FAQs) and to provide corresponding content for the respective customer. The evaluation is carried out exclusively in aggregated form and without assignment to individual users or specific chat histories. No personal content is published or reused.

Legal Basis:

The legal basis for the use of PHAINA is Art. 6(1)(f) GDPR. Our legitimate interest lies in offering our customers a fast, simple, and always-accessible consultation option, thereby also improving access to product information. The evaluation of chat history content is only carried out with your consent pursuant to Art. 6(1)(a) GDPR and can be revoked at any time with effect for the future.

For processing your request using the free-text input or the chat function, your consent pursuant to Art. 6(1)(a) GDPR is the legal basis. Your consent is required before using the function, which you can revoke at any time, also with effect for the future.

The following cookies are set when using PHAINA:

userToken – Storage period: unlimited. A randomly generated token that assigns users to their chats or interviews. Technically necessary to ensure that users cannot read or manipulate messages or interviews belonging to other users.

chatConsent – Storage period: unlimited. Stores whether the user has given consent to use the chat features (Boolean). Serves to document consent in accordance with Art. 7(1) GDPR.

analyticsConsent – Storage period: unlimited. Optional Boolean consent that stores whether the user has agreed to the evaluation of entered data for analytical purposes.

threadID – Storage period: unlimited. A technically necessary cookie for saving a new chat conversation or for displaying a previous chat conversation again.

Recipients:

The request data is transmitted to Phaina GmbH. If the free-text search or the chat function is used, data may also be transmitted to OpenAI Ireland Ltd.

Transfer to Third Countries:

If the free-text query or chat function is used, the requests are transmitted to OpenAI Ireland Ltd. in the USA. Appropriate safeguards within the meaning of the GDPR have been put in place for this transfer. Standard contractual clauses pursuant to Art. 46(2)(c) GDPR have been concluded with OpenAI Ireland Ltd. Nevertheless, we ask that no personal data be entered into the free-text input when making requests.

Duration of Data Storage:

The data will be deleted as soon as it is no longer necessary for the purpose for which it was collected. In addition, the data will be deleted if you exercise your right to erasure pursuant to Art. 17(1) GDPR.

Objection / Revocation:

You have the right at any time pursuant to Art. 21(1) GDPR to object to the processing of your personal data. If you exercise this right, processing for this purpose will no longer take place.

Description and purpose: We use CleverReach to send newsletters. The provider is CleverReach GmbH & Co. KG, Schafjückenweg 2, 26180 Rastede, Germany. CleverReach is used to organize and analyse the sending of newsletters, among other things. The data you enter for the purpose of subscribing to the newsletter is stored on CleverReach's servers in Germany. If you do not want CleverReach to analyze your data, you must unsubscribe from the newsletter. For this purpose, we provide a corresponding link in every newsletter message. For the purpose of analysis, the emails sent with CleverReach contain a so-called tracking pixel, which connects to the CleverReach servers when the email is opened.
